Time Zone

Whova gives you the option to select between the event time zone (US Pacific Daylight Time) and the time zone you are currently in. While on-site in Las Vegas, these will not be different. If you are using the app while in a different time zone and have not toggled to the event time zone it will affect session times on the agenda. While reviewing the agenda, be sure you are in the correct time zone on the app. See screenshot below.

How do I get from the airport (Harry Reid Int’l Airport) to the hotel, vice versa?
Harrah’s Las Vegas Hotel is a short 15-minute $20 cab/Uber drive form the airport and back.

What do I need to know for checking into the hotel?

The hotel will verify your identification and secure a credit card deposit at the time of check-in for incidental purposes. You will not be allowed to check-in unless you provide these items and cash will not be accepted as a deposit. If you need to make pre-arrangements, allow 14 days for a credit card and 30 days for a check. Please contact 1-800-Caesars for additional information about these arrangements.

An early check-in fee may apply if you are arriving prior to the hotel’s check-in time of 4:00 pm.  If you wish to avoid the fee, complete your registration paperwork upon arrival and Harrah’s will store your luggage at the Bell Desk. Self-check-in kiosks are conveniently located in the hotel lobby.

Is there a daily parking fee?
Harrah’s Las Vegas offers a parking garage accessible from Las Vegas Blvd. Take Flamingo Rd east exit; turn left on Las Vegas Blvd., Harrah’s is located on the right just past LINQ,  Valet is also available, when space allows.

Planning to bring your tools?
Just a friendly reminder, be sure to check your tools.  Do not accidentally leave them in your carry on. They will not make it past airport security.

What else should I bring to the Symposium?
Paper, pen, and business cards. You will need them for networking.

What should I wear?

Proper attire for most Symposium programs is “business casual.” There are several events where other clothing is more appropriate. Suggested attire for the Awards and Induction Ceremony/Dinner is cocktail and suggested attire for the Leadership Gala is black-tie formal.

Volunteers: plan a sporty casual attire and comfortable, non-slip shoes.

*Note – The FORUM will be air-conditioned, and we advise that you bring a sweater.

Will there be a lot of walking needed to attend Symposium events this year?
Yes. If you are concerned about access and walking long distances, we highly recommend you rent a scooter. Scooters can be rented and delivered directly to your hotel room through Desert Medical Equipment, Inc. by calling (702)876-9171 or (866)711-9171. Their website is www.dmelv.com. The approximate cost for a 3-day rental is $120.00.

What attractions will be within walking distance of the Hotel?
The LINQ Promenade has an impressive amount of shopping, dining, and bar options and is right near the High Roller Observation Wheel. Las Vegas has it all! Visit https://www.caesars.com/las-vegas/things-to-do

Are there any rules/regulations I must know about?
Please do not record any videos or take any photos during education or main stage programs. AIFD has professional photographers on site. You will be able to access all photos on the AIFD® Symposium Facebook page and watch the Main Stage Programs until October 9, 2022 through the Symposium app.

 

Registration & On-Site

What is the first thing I should do when I get to the Harrah’s Las Vegas Hotel?
Check in to the hotel. Then walk over to the Forum. It is about a 7-10 minute walk and you do not have to go outside! You will get off the elevators at the 2nd floor to access the Forum Conference Center.

Are there certain gate hours at the FORUM?

Yes! Please check the Conference App for exact Forum gate hours. The gate will close about 20 minutes after the last Symposium function ends each day.

You will need to show your badge to enter the Forum building after the 1st day.

What happens if the gate is closed? What is the best way to leave the building?

It is important for you to leave the Forum prior to the gate closing each evening.

Do I need to wear my name badge every day during the Symposium?
Yes. Your name badge gives you access to the Forum, the AIFD® National Symposium programs and events, and encourages other participants to greet you.

Stop by AIFD®’s registration desk, located at the Caesars Forum Conference Center, and pick up your registration packet during open hours.

What happens if I lose my badge?
Stop by the AIFD® Registration Desk for a new one.

Will I be able to register on-site?
While we ask you to pre-register, we offer single day registration for Wednesday, Thursday and Friday, Partners’ Showcase tickets and General registrations only. All dinners will be sold out.

Will I be able to register for the Hands-On Classes or the Enhanced Education Sessions on-site?
Be sure to pre-register! We anticipate all sessions and classes will be sold out.

How do I know if I am registered for the Hands-On Classes or the Enhanced Education Sessions?
If you have pre-registered for classes or sessions, you will receive a confirmation document in your registration pack. You can add any events you registered for to “My Schedule” in the Symposium App.

Can my partner, child, or family member accompany me at the Symposium?
Absolutely. Symposium programs and events require a badge for entry so be sure to pre-register. On-site they will be able to purchase single day registration for Wednesday, Thursday and Friday, Partners’ Showcase tickets and General registrations only. All dinners will be sold out.

What if I have questions or need help? Whom can I ask?
Anyone on the AIFD® Staff (with blue “Staff” ribbons) — we are ready to resolve any issue that comes up.
In addition, any AIFD® member with the accreditation behind their name and/or a red “Mentor” ribbon will be happy to help.

 

Dinner Tickets & Meals

Can I purchase a Dinner Ticket on-site?
AIFD® sells out of dinner tickets in advance of Symposium. However, there may be attendees on-site who are no longer able to attend the dinner function. They may sell their tickets. A list of people selling tickets will be posted at the registration desk. The exchange takes place between you and the attendee selling tickets. You can call or communicate with them through AIFD®’s mobile app.

Do I need to do anything with my Dinner Tickets?
Assigned table seating is coordinated prior to each dinner event.  You MUST turn in your ticket to the table-seating coordinator at the AIFD® Registration desk to be assigned your table number by noon of the day the dinner will be held; otherwise you will not have a seat.

What if I want to sit with my friends at the dinner?
Tickets turned in together will be seated together. Tables cannot be held without tickets. Be sure to coordinate the collection of tickets in advance.

What if I forget to turn in my Dinner Ticket?
All tickets MUST be returned for table assignment by Noon the day of the dinner. Otherwise AIFD® cannot guarantee you a seat, even if you have purchased a ticket. NO REFUNDS WILL BE GIVEN.
Tickets WILL BE collected at meal functions.

What about lunch every day?
We encourage you to enjoy a networking lunch on your own. Check out https://www.caesars.com/las-vegas/things-to-do for a few good places to eat within walking distance.

Will The Forum accept actual cash during bar service?
NO. Cash will not be accepted at The Forum. The Forum will accept credit card and room charge for bars.

 

Events & Programs

Do I need to be registered to attend the PFDE® & SAIFD Floral Artistry Showcase held on Monday, July 4 at 7 p.m.?
This event is open to all whether you are registered or not. There will be a cash bar and networking! Note: The Forum will accept credit card and room charge for the bars. Cash is not accepted.

What about the “AIFD® Together Again! ROOTS Welcome Reception” held on Tuesday, July 5 at 5 p.m.
This is also open to all! You will be welcomed to Las Vegas and have the opportunity to relax and connect with the AIFD® floral family!

I am interested in becoming an accredited AIFD® member, how can I learn more?
You can always check out our website at www.aifd.org and there will be a presentation held on Tuesday, July 5 at 3 pm dedicated to “Steps to Membership.” 

Can anyone donate to the AIFD Silent Auction/Foundation Live Auction?

Is it okay to attend the 10 am and 2 pm July 4 sessions, “Earth, Wind & Fire” and “ROOTS to Creation” in the Gallery (Academy 402-403)?
Yes. These are special sessions so feel free to sit in on them and learn! Please remember to turn off your cell phone ringer.

What is the Body Flower Buffet/Corsage Bar?
Use your skills on-site! This is the perfect opportunity to create your own boutonniere or corsage for Thursday’s Awards & Induction Dinner and Dance and/or Friday’s Leadership Salute Dinner and Dance! Hardware and fresh cuts will be available so do not forget your tools!

Am I required to wear a mask during Symposium?
At this time, the state of Nevada and Clark County Government, which includes Las Vegas, are not requiring masks at indoor, or outdoor facilities. However, people may choose to mask at any time. To limit exposure and maintain the health of all Symposium attendees we request that people with symptoms of COVID‐19 or a positive COVID‐19 test refrain from attending Symposium. If you think you have been exposed to COVID‐19 please review the U.S. Centers for Disease Control’s (CDC) guidelines (https://www.cdc.gov/coronavirus/2019-ncov/your-health/index.html).

What precautions are AIFD® staff taking?

AIFD® has taken the following health and safety precautions to protect attendees and staff during symposium.

  • In compliance with local guidelines, employees shall wear masks.
  • The registration desk is arranged to allow for appropriate social distancing.
  • High touch items at the registration desk are cleaned frequently.
  • Hand sanitizer and masks will be provided near the registration desk.
  • Social distancing may be observed during Main Stage programs by attendees by sitting every‐other‐

What precautions are Caesars Forum and Harrah’s Hotel taking?

Caesars Entertainment, the parent company of both Harrah’s and Caesars Forum, has taken great care across every resort, working closely with health experts and incorporating advice from the World Health Organization, the Centers for Disease Control, and the US Environmental Protection Agency. For the well‐being of guests and team members, Harrah’s Hotel and Caesars Forum Las Vegas have taken the following precautions:

  • Facilities are cleaned and disinfected daily and throughout each shift.
  • Team members are trained on proper cleaning and disinfecting procedures, as well as proper usage of PPE.
  • High touch items are cleaned and disinfected between uses.
  • In compliance with local guidelines, employees shall wear masks.
  • Front desks are arranged to allow for appropriate social distancing.
  • Hand sanitizer stations are provided at the front desk and throughout both of the facilities.
  • Queues may be marked to identify appropriate distance between guests in compliance with local guidelines.
  • Team members, including guest room attendants, will not enter occupied rooms.
  • Guest deliveries will be dropped off outside the guest room door if the room is occupied
  • Team Members will provide hand sanitizer at check‐in, table games, cage, and other transaction points.
  • Hand washing reminders are available throughout restroom facilities.

Social distancing procedures are implemented in compliance with local guidelines.
